Running it live
Open and close, approve and reject, hide and restore, and show a question big — from the Live board or the presenter’s page.
During the event, operators work from the Engagement panel on the Live board, and a presenter who may pick questions works from the Audience tab on their own page. Both update the moment a guest posts. A room coordinator finds the same panel, for their room only, on the room’s own page — see Operate one room from a phone.
The Engagement panel
Open Run → Live. The panel appears when there is an engagement to run, one card per engagement:
- Open / Closed — for an engagement opened by hand, a switch. For the others, when it opens and closes by itself.
- Copy phone link — to paste into a chat or a slide.
- Waiting for you — posts that wait for a yes, with Approve and Reject. Auto-check says why it held one.
- On the walls — what guests see now, with Hide to take a post down.
- Hidden lately — with Restore to put one back.
Questions
When the operator may pick questions, each one has Show big: every wall shows it forward, and the one shown before goes back. Answered finishes it. One question is shown big at a time; its card says Big on screen.
Videos and Live photos
A video is made small for the walls before it can go up; until then its card says Preparing…. Once ready, it plays in place, without sound, so you can watch it before you press Approve. A video that could not be converted stays off the walls. Live photos are marked as such.
The presenter’s Audience tab
When a session’s engagement lets the presenter pick questions (Who picks the question shown big: the presenter, or the operator or the presenter), the presenter’s link has an Audience tab next to Stage:
- Waiting for your yes — only when the engagement says The presenter approves questions (see below): new questions, each with Approve and Reject.
- Big on the screens now — the question shown big, with Answered.
- Questions — the ones waiting, each with who asked and from which room, and Show big.
- Answered — the ones done, to show again if needed.
- For a by-hand engagement, a switch to open and close it.
- While the session is ready or live, Ask the room to scan — the room’s QR code, large, to hold up to the camera.
The presenter approves questions. A small session with no one at the Live board can leave the questions to the presenter: in the engagement’s editor, under What guests can post → Questions, turn on The presenter approves questions (it needs a picker that includes the presenter). Questions that wait for a yes — every one with Approval moderation, the flagged ones with auto-check — then show on the presenter’s tab too. Only questions: photos, notes and videos stay with the operator, who can still approve and reject everything from the Live board. It works for the engagement of the presenter’s own session, or of the show that session is in — not for one that belongs to the whole workspace.
Continue on your phone. At the lectern, the laptop shares the slides and the phone runs the Audience tab. On the computer, press Continue on your phone and scan the code with the phone’s camera: the same page opens there, signed in. The code works once and for one minute, then says Used or Expired — make a new one for another phone. It never contains the presenter’s link, but don’t show it while you share your screen. A phone stays signed in for the event day; a new link from the organizer signs it out.
See Presenters and sessions for the rest of the presenter’s page.
Who can do what
- Operators open and close, moderate and pick questions. An operator limited to some venues or stages sees only the engagements that reach them: a session’s on its stage, a show’s on the stages it plays on. Engagements for the whole workspace are for operators without such a limit.
- Editors set engagements up.
- Owners set the workspace’s rules in Settings → Engagement.
