What to expect as a presenter

A short page to send your presenters: the link, the device check, rehearsal, I’m ready and going on screen.

You have been invited to present live. The organizers will show your video on the screens at the venue, inside a slide they designed. Here is everything that happens, from the link in your inbox to the thank-you at the end.

What you need

  • A computer with a camera and a microphone. A headset avoids echo.
  • An up-to-date Chrome, Edge, Firefox or Safari.
  • A stable internet connection — a cable is better than Wi-Fi if you have one.
  • The personal link the organizers sent you. You do not need an account or a password.

What happens

  1. Open your link

You see the session title, your name and a countdown. The link opens a little before the session — usually 30 minutes — and before every rehearsal. If you are early, the page tells you when you can join.

  2. Check your camera and microphone

Allow your browser to use them, pick the right devices, look at the preview and speak: the level meter should move. You can also share your screen if the organizers asked you to.

  3. Join backstage

Press Join backstage. The organizers can now see and hear you — but nothing is on the screens yet. A preview shows how your video will be framed.

  4. Say you are ready

Press I’m ready. Depending on the plan, you go on screen straight away, when the organizers take you live, or at the start time. Changed your mind? Press Not ready.

  5. You are live

The page turns red and says On screen. Present as usual — nobody cuts you off when the planned time is up.

  6. Finish

Press Session finished, or the organizers end it for you. The screens move on and you see a thank-you.

Rehearsals

The organizers may invite you to a rehearsal, often a week or a day before. Use the same link. A banner says it is a rehearsal: everything works exactly like the real thing, and nothing appears on any screen.

If something goes wrong

  • No camera or microphone to choose — allow access in your browser’s address bar, then reload the page.
  • The level meter does not move — pick another microphone and check it is not muted on the device.
  • The badge says reconnecting or lost — stay on the page; it reconnects by itself. If it does not, reload and join again.
  • “This link opens …” — you are early. Come back at the time shown.
  • The link is refused — it was replaced or the session was canceled. Ask the organizers for a new link.
