Set up an engagement
Whose it is, what guests can post, when it is open, what gets through, and rooms with their own links.
Editors and owners set up engagements; operators open, close and moderate them. Everything here is on one page, and it saves with Save at the bottom.
Create one
Open Run → Engagement
Press New engagement. You can also reach an engagement from the Live engagement section of a show or a session.
Say whose it is
Under For, pick The whole workspace (a lobby, all day), a show, a room or a session. A session’s engagement can open and close with the session by itself. The name is optional: it is named after the session or show. Not sure which? See Whose engagement is it?
Adjust and save
A new engagement takes sticky notes and polaroids, uses auto-check, and — for a session — opens while the session is live. Change what you need below, then press Save.
Basics
- Name — what your team calls it: Keynote Q&A, Lobby wall.
- For — the workspace, a show, a room or a session. Walls on any stage can point at it either way, and a room’s check-in code finds it by this choice.
- Room label — shown on the phone and under the QR code.
- Photo folder — the folder in Assets where guests’ photos, clips, videos and selfies go.
What guests can post
- Sticky notes — a short text on a colored note, up to the number of characters you set.
- Polaroids — a photo with a caption, taken after a countdown the screens can show. Set the caption length; 0 means no caption.
- Live photo — the phone also records a silent clip of a few seconds around the shutter.
- Videos — a short clip in a polaroid frame. The phone turns speech into captions the guest can correct; no sound leaves the phone for that.
- With sound — whether its sound may be played at all. Each wall still decides when.
- Questions — guests ask; one question at a time is shown big. Under Who picks the question shown big, choose the operator, the presenter, or either.
- Ask a first-time guest for a selfie — it becomes their avatar on notes and polaroids. They can skip it.
When it is open
- By hand — the operator or presenter opens and closes it.
- While the session is live — it opens when the session goes live and closes when it is finished. For a session’s engagement.
- While it is on a screen — open while any stage plays a scene or shot with one of its QR codes, notes walls or polaroid walls.
- On a schedule — between two times.
A closed engagement says Closed for now on the phone; walls keep showing what they have.
Open, paused or closed per scene
A scene or a shot can decide for the engagement while it plays. Open the scene in the shot editor; when it holds a QR code or a wall, the moments list has an Audience section with While this scene plays and While moment N plays: Follow the engagement, Open, Paused or Closed.
Paused means guests can still post, and their posts are collected and moderated as usual — but they wait off the live walls until the engagement opens again. The phone tells them: Sent. It goes up on the screen a little later. A wall that shows the collected set (Overview) shows them anyway.
When stages disagree, open wins over paused, and paused over closed. Open, Pause or Close pressed under Now on the engagement page beats all of this — the screens, the session and the schedule — until someone presses Follow … again.
What gets through
- Straight to the walls — every post appears at once. The operator can still hide one.
- Operator approves each post — nothing reaches a wall until someone at the Live board says yes.
- Auto-check, then the operator — clean posts go straight up. Swearing, links, spam and ALL CAPS wait for the operator.
Rooms in an engagement
An engagement’s rooms are labels for the places guests scan from, inside this one engagement. Each gets its own link and QR code, every post remembers the room it came from, and a wall can show one room or every room.
They are not the rooms of your venue. A venue’s room is a place with screens and sessions, and its one check-in code leads to whichever engagement runs there — see Room check-in. When that code lands on an engagement for the event or the workspace with a room of the same name, posts are marked with it.
Add the rooms
In the Rooms card, press Add a room and type its name — Lobby, Keynote hall. Up to 50.
Save
Saving makes each room’s link and a small QR code beside it. Click a code to show it large in The phone link panel, ready to scan.
Point codes and walls at a room
On the screens, pick the room in the QR code block’s Room and in a wall’s From (or Photos from).
Renaming a room keeps its link, so printed codes keep working. Removing one stops its link from naming a room; posts made there keep its name. With no rooms, every code leads to the same page.
Now, and the phone link
Beside the settings, Now shows whether it is open, paused or closed, with Open, Pause and Close buttons for operators, and counts: Waiting, On the walls, Open questions and All posts. The phone link below it has the QR code to try the guest page yourself.
