Schedule and go live

Book stories on the call sheet, run an event day with shows and cues, and take over screens from the live board.

Most screens run on a routine — the lunch menu every weekday from 11:30 — and a few days a year run on a script. Wunderframe handles both: the call sheet for the routine, shows for the script, and the live board for everything that happens on the day.

The call sheet

Open Venue → Call Sheet. Each booking says which story plays on which stage, on which days and in which time window.

  • Times are local to the room, before and after a daylight-saving change.
  • Repeats can be weekly on chosen days, or follow a rule with a start and end date, a day of the month, and dates to add or skip.
  • One-day changes play another story on a single date, or skip the booking that day.
  • Switching a booking off silences it without deleting it.

Dayparts

Dayparts are named times of day. On the day plan, a booking in a daypart follows it: move Noon to start at 11:00 and every Noon booking moves with it. Scenes can use dayparts too — the breakfast offer plays in the lobby loop only in the morning.

Shows: an event day, cue by cue

  1. Plan the cues

Open Venue → Shows and create a show for the date. Add a cue per moment and choose, for each stage it changes, a story, a presenter session or black — every other stage stays Unchanged. Use a saved preset fills a cue from a preset instead. Set a cue to At time and it fires on the controller’s live board when that minute arrives; On GO waits for the operator.

  2. Hand it over to operators

Tick the show’s operators under Operators and press Hand to operators. From then on the planner’s edits arrive as proposals an operator accepts or dismisses, so the running order never changes under an operator’s hands.

  3. Run it from the live board

Open Run → Live. The controller presses GO for the next cue and Back to restore what was live before the last GO.

A show is the event day as a list of cues. The day at a glance shows what each stage changes to, cue by cue; Will claim lists the stages the show holds while it is live.

Sessions and timed cues

A cue can put a presenter session on a stage instead of a story. Firing it takes the session live and plays its speaker intro — keynotes inside an opening block work this way: Welcome at 11:00, then GO for each keynote.

A cue with a time fires by itself once the show is started. The server keeps the time, so it does not depend on one laptop. A cue that is more than two minutes late when the show starts does not fire on its own: press GO for it.

Cue 2 of the show, "Hospitality in the age of calm technology" at 09:15: Raum A projector is set to the 09:15 AM presenter session, every other stage stays Unchanged.

One controller at a time

While a show is live, only its controller can press GO, go back, take or release a stage. Hand over control asks another operator to take the desk, and a workspace owner can take over with a reason that is logged.

The live board

  • Put on… puts a story or a blank screen on one stage now.
  • Take a preset puts a saved setup live on every stage it names.
  • Release returns a stage to its call sheet booking; Release all does it for every stage.
  • Blackout takes every stage to a blank screen.
  • Undo restores exactly what was live before the last change.

The Live board on a desktop: counters (0 taken live, 1 by a rule, 4 on the Call Sheet, 3 idle), stage tiles with live pictures and badges (Call Sheet, a purple rule badge on Lobby wall, Idle), each with its channel and a Put on button, and on the right Casts, Run of show, Presets and What happened.

Presets

A preset is a saved venue state: which story, presenter session or black each stage changes to, put live in one move. A stage left on Not part of this preset keeps what it plays. Make them under Venue → Presets for the states you repeat — Break, Doors open, House loop. Choosing a stage group fills in its stages. A show’s cue can set stages directly; save it as a preset only when it repeats. Pinned on Live keeps a preset one tap away on the board. (Presets were called programs until September 2026.)

Venue → Presets: each card shows what every stage changes to, or Unchanged.

Channels and casts on the board

  • Channel — a stage whose design shows the stage’s channel has a Channel line on its tile. Pick a logo and only the video changes. See TV channels.
  • Casts — when a stage accepts casting, requests and live casts appear here with Accept, Turn away, Cut and Mute. See Cast zones.

Everything on the board is live: it never waits for a publish. What a story or a preset contains does.

Every take, GO, Back and handover is written to the board’s What happened log with who did it and when. For the day itself — sessions, one room from a phone, Blackout — see the Operator guide.

On a laptop, a tablet or a phone

The board reshapes itself to the device it is on.

  • Laptop — the stage tiles on the left, the desk on the right.
  • Tablet — the tiles scroll above a bar pinned to the bottom with the next cue, Back, a big GO and Blackout. Sessions, presets and the history open as sheets; tap a tile to open that stage.
  • Phone — GO mode: the show’s now, next and GO (or, with no show running, a Shows button), the Rooms, a card per screen, Presenter sessions, Presets and What happened, and Blackout every screen. A room opens its own page — see Operate one room from a phone. Tap a screen for its sheet: its Channel, Put presenter on when a session is on that stage today, Back to schedule, Black and Put a story on….

On a tablet, Back, GO and Blackout stay pinned to the bottom, within reach of your thumb.

The Live board on a tablet in portrait: stage tiles in two columns with live pictures — Raum A and Raum B projectors, Lobby wall under an evening rule, Entrance kiosk, Restaurant menu board and TV test — and a bar at the bottom with GO, Blackout and quick panels.

On a phone: the rooms in a row, then presenter sessions, presets and what happened, and Blackout every screen always one tap away.

The Live board on a phone: the time, a note that no show is running with a Shows button, a swipeable row of rooms with their status badges, and Presenter sessions, Presets and What happened, above a Blackout every screen button.

Tap a room for its sheet: change its channel, put a story on, send it to black or back to its schedule.

Keyboard shortcuts

The desk answers these keys whenever you are not typing in a field and no dialog is open:

  • Space or Enter — GO: fire the cue shown as next.
  • Backspace — Back: undo the last cue.
  • B, then B again within 3 seconds — Blackout.
  • R, then R again within 3 seconds — Release all.
  • Esc — disarm.

One GO is one cue: holding Space, or two presses within a second, count once. If another desk or the show clock moved the show on meanwhile, GO is refused with The show already moved on instead of firing the cue after.

Is the desk up to date?

The line under the board’s title says how fresh it is. Live means changes arrive instantly. Polling means the desk asks every 8 seconds; it turns amber when it is 8 seconds behind and red after 30 — Desk may be behind, check the room. If the server cannot be reached at all, the board keeps its last picture and the line turns red at once — Stale since … — with Retry. The same line says whether presenter streaming works. Check the room before you GO.

Backstage

Run → Backstage shows today’s presenter sessions in every room at once: a column per stage, a card per session. It is the page for whoever looks after the speakers — at a desk, on a tablet, or standing in a room with a phone.

  • Each card shows every presenter’s picture and microphone level once they have joined from their link. READY means they pressed I’m ready; ON SCREEN means the room shows them now.
  • The countdown runs to the start in the room’s own time. It turns red when the start has passed and nobody is ready — walk over.
  • Take puts the session on its stage now; Not ready takes a presenter off the ready list; Finish ends the session and moves the stage on. When a show holds the stage, the card says who to ask instead of failing.

A tablet shows two rooms side by side; a phone one room at a time — tap a room’s name or swipe. Pictures off stops the video connections when the network is tight.

Backstage: a column per room and a card per session. Here the start has passed and nobody is ready, so the card says so in red.

The Backstage page: sessions per room (Raum A projector, Raum B projector), each with its time, a warning that the start time has passed and nobody is ready, the presenter's camera tile (Dr. Anna Keller, Sofia Lindqvist, Marco Rossi) and a red Take button.
